Artists  are invited to submit a letter of interest, a  brief description of the  workshop or course, a list of materials needed  plus additional support  material.

Programming & Events Coordinator


Haldimand Art Works is seeking a Programming and Events Coordinator to join our team. 

This is a 22-week contract position with a rate of $180/week for 10 hours per week with an anticipated start date TBD.

The ideal candidate should have a strong passion for organization and executing events. This person will lead the coordination efforts to build exciting programming and events for Haldimand Art Works. The Programming & Events Coordinator is also responsible for working with the Board of Directors and Haldimand Art Works’ volunteers to promote programming and events. 

This is a position with no direct supervisory responsibility; however, the Programming and Events Coordinator will be called on to oversee relationships with volunteers, sponsors, and vendors. Given the small size of the organization and the community, the Programming and Events Coordinator must be a self-started team player, and willing to tackle “other duties as assigned” to ensure the overall success and sustainability of Haldimand Art Works.

Role responsibilities include:

  • Work with the board to create SOPs for operations with any specific programming or event initiative, including, but not limited to: update checklists, templates, project plans, and other tools to streamline and simplify execution the next time a similar program or event is conducted
  • With support from the Board, recruit committee Chairs and coordinates volunteers for designated events and programs
  • Prepare and send timely communications such as save-the-date notices and invitations and works with the board to develop advertising materials and marketing plans
  • Maintain continuity and consistency with Haldimand Art Works branding and monitor activities to ensure conformance with Haldimand Art Works Bylaws and guidelines
  • Attend events and acts as a key contact to ensure success
  • Help prepare timely thank-you notes to speakers, sponsors, and key volunteers after events
  • Work with board to conducts post-event evaluations and debriefs to determine how future events can be improved
  • Work with the board to maintain all necessary records associated with each event, communicating with the arts administrator to ensure all revenues are being billed and collected in a timely fashion
  • Develop and maintain positive working relationships with other agencies, community organizations, economic development, tourism, and village, town and county officials to further promote Haldimand Art Works
  • Attend select local community events and meetings to raise awareness of Haldimand Art Works and obtain local support for      membership, partnership, and solicitation opportunities
  • Develop and manage annual event plan to ensure that event dates are publicized to the community as early as possible to avoid schedule conflict with other events
  • Serve as a primary point of contact for the coordination and scheduling of programming and special events for Haldimand Art Works 


  • 2 or more years of programming and/or event-related experience an asset, but not required
  • Professional experience in developing, implementing, and leading public relations and marketing activities, projects and campaigns
  • Ability to manage several projects at one time in an organized and highly effective manner
  • Budget management skills
  • Strong skills in PowerPoint, Word, Excel and Google Docs and other user-friendly reporting systems.
  • Ability to work a flexible schedule that would include some weekends and occasional evenings/nights
  • Must exhibit maturity and professionalism in personal behaviour when officially representing Haldimand Art Works and when off duty
  • Must be skilled at communicating orally and in writing, with emphasis on ability to present ideas clearly and concisely 
  • Must be adept at maintaining effective working relationships with a wide variety of individuals 
  • Must be committed to providing prompt responses to inquiries and requests, and to being relentless in following up until tasks are complete
  • Willing to performs other duties as assigned
